This guide explains how to add a new key unit to your organisation structure and how this may affect SelectPay.
Impact to SelectPay
Each employee who is moved from one unit to another may see a pending change appear in SelectPay.
Their existing pay rate may also appear as a pending change but if there is no change to pay rates, this will merely reconfirm their existing pay rate, which may be confusing to your Payroll team.
Please advise them of this if you do decide to move employees from one unit to another through a change in career history.
Add a new key unit
To add a new key unit into the organisation structure, firstly decide where in the organisation the new unit will sit.
The organisation is structured using a number of levels, such as Company, Division, Department.
For example, to add a new Department and enable it so that posts can be added, follow these steps.
In the Organisation zone, click Organisation Structure.
Drill into the toplLevel (Company/Group) Organisation Unit and click on the tab Units Below...
Repeat clicking on the Units Below... until at the required level in the organisation structure.
Click on the New button to create a new Key Unit.
Complete the Unit Identification and Name fields (These are required).
Complete the Head of Unit and Cost Centre fields (optional).
Enter PAYE reference if required.
To allow posts to exist at this level in the organisation structure (e.g. Team level), tick the Allow Posts box.
Click on one of the Save buttons.
It is now possible to add a new post (or change an existing one) to this key unit.
⚠️ Warning: Major changes to your organisation structure, such as replacing parts of it, should be planned with our Consultancy team. Please contact your Account Manager or CSM (for premier support plans) to discuss and determine if this is the right approach for you.
This requires:
A new set of Organisation Units and Posts.
Employees can then be given new Career records to effect the change over to the new posts in the new unit structure.
Additional Notes
All employees must be at the lowest level of structure.
Company = Level 3
Division = Level 2
Department = Level 1All the posts added to any level other than Level 1, will effectively sit outside of the organisation structure.
All jobs need to be in Level 1, otherwise, the following queries could occur: reporting line issues, wrong structure information, and/or missing posts.
