If an employee re-joins your organisation, and they are not seeing the correct details in their self-service menu set, complete the checks below.
A common symptom is that an employee may see no holiday entitlement on the gauges.
Check the role filter on menu set
In the Admin Tool, click User Accounts.
Change the drop-down to All Users.
Locate the impacted User Account and open their record.
Expand Menu Sets.
Scroll down to the assigned Self Service Menu Set.
Ensure that the Role is set to Self Service.
If the Role is not set to Self Service, single click on the Self Service Menu Set line, and click Change Role, Self Service, then click OK.
Check the user account is bound to the correct person record
Sometimes, employees will leave your organisation and return in a new position at a later date. If you create them as a new person record when they return, the user account will remain bound to their leaver Record until you manually update it.
β
As a result of this, if the leaver record is the one being accessed by the user, they will not have any current statistics, which will result in the statistics showing blank.
β
You can check to see if this is the case by following the steps below.
In the Admin Tool, click Import/Export Data.
Click Create an export definition.
Click Select the data to export.
Change the database to SelectHR.
Copy the following SQL:
Select Person.Details.[Person Number], Person.Details.[First Name], Person.Details.Surname From Person.Details Where Person.Details.Surname = 'TYPE SURNAME HERE'
In the top left, click Options, Paste SQL from clipboard.
In the bottom of the screen, replace TYPE SURNAME HERE with the Surname of the affected User.
Click Data.
Map the user account to the correct person
If there is more than one person record for the employee, you should now note down all person numbers. Finally, you will now re-map the correct person record to the user account.
You can do this by following these steps.
In the Admin Tool, click User Accounts.
Search the employee's name in the top right.
Double-click into the record.
Next to the person field, click Change.
Make sure that the account is linked to the current employee record.
