Applicants who do not become employees leave personal data in SelectHR that may breach data storage regulations and make user management harder. The Applicant Purge function lets you bulk-anonymise personal details and remove applicant user accounts in one action.
What the purge removes
The purge targets applicants who have had no activity within a configurable time threshold. The threshold is based on the date of their latest entry in Application Status History.
For each eligible applicant, the purge:
Deletes or anonymises application and offer information.
Deletes the applicant's user account.
Deletes or anonymises personal information.
Deletes related documents.
Deletes contact information.
Who is excluded from the purge
The following applicants are never purged, regardless of inactivity:
Applicants who have had a live appointment.
Applicants who have had training.
Applicants who are recorded as a contact.
Run an applicant purge
Go to Recruitment, Applicants, Purge Applicants from the HR (v2.0) menu set.
Click Purge Now on the listing.
SelectHR creates a new record showing when the purge was requested, who requested it, and how many applicants were purged.
Change the purge threshold
The purge threshold controls how long an applicant must be inactive before they become eligible for purging.
1. Log in to the Admin Tool.
2. Open Configuration.
3. Select HR settings.
4. Set the period in the Applicant Purge Period control.
5. Click OK.
