Configure default menus and groups for new users

Steps to set up the default menu sets and security groups that SelectHR assigns automatically when a new user account is created.

You can control which menu set and security group SelectHR gives to new users the moment their account is created. These settings are configured once in HR Configuration and apply automatically from that point forward no manual assignment needed each time.

📌Note: You need administrator permissions to access the HR Configuration screen and to view the available groups and menu sets. If a drop-down appears empty, it usually means there are no enabled menu sets or no groups available on your system.


Understand the settings

There are four fields to configure, split into two categories depending on the type of user being created:

  • Self Service: Applies to every new user created in SelectHR.

  • Onboarding: Applies only to onboardees (new starters completing onboarding before their official start date).

The four fields are:

  • Default Self Service Menu: The menu set every new user lands on when they first log in. Only enabled menu sets are assigned.

  • Default Self Service Group: The security group every new user is added to. This controls what they can do and which menu sets they can reach.

  • Default Onboarding Menu: An additional menu set given to onboardees so they can complete their onboarding tasks. This becomes their landing menu during onboarding.

  • Default Onboarding Group: The security group an onboardee is added to when their account is created.

🤓Tip: Think of Self Service as the baseline that everyone receives, and Onboarding as a temporary addition for new starters who haven't formally begun yet.


Configure the default settings

You can set up all four fields from the HR Configuration screen in the SelectHR Web Platform.

  1. From the dashboard menu, click Configuration.

  2. Click Configuration, then click HR Configuration.

  3. Navigate to the Onboarding section.

    🤓Tip: This is the same section that contains your other onboarding options such as Onboarding Server and Onboarding Absence settings.

  4. In Default Self Service Menu, select the menu set you want all new users to start on.

  5. In Default Self Service Group, select the security group all new users should belong to.

  6. If you use onboarding, in Default Onboarding Menu and Default Onboarding Group, select the appropriate values.

  7. Click Save.

Test by creating a new user with the New Employee Wizard and confirming they can log in and see the expected menu.

⚠️Important: Make sure the menu set you choose is enabled. The menu drop-downs only show enabled menu sets, and SelectHR double-checks this when creating a user. If a menu set is later switched off, any users created after that point will not receive it. Review these settings after any change to your menu sets, such as following an EVO upgrade.

If you leave the Default Self Service Menu or Default Self Service Group fields blank, new users will be created without a default menu set or group. This can prevent them from logging in. It is strongly recommended to set at least both Self Service fields.


Check the values after an upgrade

When this feature is first installed on your server, SelectHR runs a one-off setup step that attempts to populate the four fields with sensible starting values so you are not left with everything blank.

This step runs only once, during the upgrade, and only fills in fields that are currently empty. The default values it applies are:

  • Default Self Service Menu → Self Service (v1.8.2), if that menu set exists and is enabled.

  • Default Onboarding Menu → Onboarding (v3.2), if that menu set exists and is enabled.

  • Default Self Service Group → Everyone, if that group exists.

  • Default Onboarding Group → Onboarding, if that group exists.

📌Note: The automatic setup step never overwrites values you have already set. It only fills in fields that are blank. If the matching standard menu set or group does not exist on your system or, for menu sets, is not enabled, that field will remain empty, and you will need to choose a value yourself.

After any upgrade, check the following:

  1. Navigate to Configuration, then click Configuration.

  2. Click HR Configuration and review the Onboarding section.

  3. Confirm the four fields point to the menu sets and groups you want new users to receive.

  4. Fill in anything that was left blank.


Frequently asked questions

Do these settings affect users who already have accounts?

No. The settings are applied at the moment a new account is created and are not applied retrospectively. Existing users are unaffected.

What is the difference between a menu set and a group?

A menu set is the collection of screens and options a person sees when they log in. A group is a security membership that controls what a person is allowed to do and which menu sets they can access. New users receive both a default menu set and a default group.

Who counts as an onboardee?

An onboardee is someone created through the onboarding process — a new starter completing onboarding before their official start date. They receive the Onboarding menu and group in addition to the Self Service ones. Anyone created through the New Employee Wizard only receives the Self Service menu and group.

I changed the setting but a new user still received the old menu, why?

The setting is read at the moment the account is created. Anyone created before you changed the setting keeps what they were given at that time. Change the setting, then create a fresh test user to confirm it is working as expected.

A menu set I want is not appearing in the drop-down, why?

The menu drop-downs only list menu sets that are enabled. If the one you want is missing, enable it first and it will then appear in the list.

The fields already had values when I opened them after the upgrade, did someone set them?

No. SelectHR populates them automatically during the upgrade using the standard menu sets and groups (Self Service (v1.8.2), Onboarding (v3.2), Everyone, Onboarding), but only where a field was blank. It never overwrites anything you had already chosen. Always review them after an upgrade to confirm they reflect what you want.
