Upload a new policy version to the HR Policies process and send notifications to employees.

In SelectHR, you can upload a new Policy Version to the HR Policies Process with or without sending notifications.

⚠️ Warning: It is very important to not process more than 50 employees at a time for these notifications.

Processing more than 50 employees in one instance will likely result in sever performance degradation until the task completes, and may cause the Service operating your system to stop working.

You will need access to an Unrestricted Menu Set to follow the steps in this article.

To upload a new policy version to the HR Policies process and send notifications to employees, follow the below steps.

  1. Under Admin, click HR Policies.

  2. Click Upload New Version. A form will now be displayed with the following options, which needs to be filled out accordingly.

    • Upload: Select the Policy to be uploaded from your computer.

    • Send To: Use the drop-down and select who should receive the Policy notifications. These are sent as an email, and will appear in the Self Service.

    • Send Notifications: Select this check box if you want the employees selected from the previous drop-down to receive an email advising them that there is a new Policy to read.

    • Require Confirmation: Select this check box if you want each employee to have to confirm that they have read the Policy.

    • Add file as Attachment: Select this check box if you would also like to attach a file to the Policy Notification. Note: This will add an attachment to every email sent to the employees selected, and could have a slowing impact on your mail network.

  3. Click Save & Continue. A list of Employees based on the chosen filter will now be shown.

  4. Next to the names of individual employees who should receive the new Policy and a notification, select the check boxes. By default, the listing only shows 12 employees.

  5. If required, in the bottom left, use the drop-down to show up to 1000 Employees, which can then all be selected at once by clicking the check box to the left of the Name Column.

  6. Click Save & Continue. The Workflow will now begin to send out the notifications.
