Check how an employee's basic holiday entitlement has been calculated

Check how an employee's basic holiday entitlement has been calculated.

Written by Harry Ledger

Use the Pro Rating tab on an employee's holiday history record to see a full breakdown of how their basic holiday entitlement was calculated, including any adjustments for start date, FTE, working pattern, or mid-year career history changes.

This area is a breakdown of the employee's basic entitlement. This will not show any public holiday adjustments or length of service awards.

View the pro rating notes for an employee

To check how the basic entitlement has been calculated for an employee, follow these steps.

  1. Click Absence, then click Absence.

  2. Click Holiday History, then select the employee.

  3. Drill into the relevant holiday history record.

  4. Click the Pro Rating tab.

  5. Click the View Notes icon.

You will now be presented with a comprehensive breakdown of how the basic entitlement has been calculated.

The breakdown includes:

  • The basic entitlement from the assigned holiday rule

  • The FTE applied from the employee's career record

  • The percentage of the holiday year worked (pro-rated for start/leave date or contract changes)

  • The final calculated entitlement in days or hours

🤓 Tip: If the entitlement looks incorrect, check the employee's holiday rule and career record to confirm the FTE and working pattern are set up correctly. See Holiday entitlement calculation explained for more details on the formulas.
