Gender Pay Gap reporting

Configuring your system for Gender Pay Gap reporting.

The Gender Pay Gap report is a reporting feature that displays the difference in pay between male and female employees.

Gender pay gap reporting is only available if you are integrated with SelectPay.

  • SelectPay performs all the calculations and generates the report data.

  • SelectHR displays the latest Annual report data on a dashboard and in a Crystal Report.

Generate Gender Pay Gap data in SelectPay

  1. Click Payroll > Pay Elements.

  2. For each pay element that should appear in GPG reporting, tick the Use for Gender Pay Gap Reporting checkbox.

  3. Click Save.

  4. Make sure standard Pay Elements are updated if any were changed for GPG purposes.

  5. Run payroll and period end (repeat as needed).

    ๐Ÿ“Œ Note: Data will not generate if a payroll period hasnโ€™t been fully processed

  6. Go to Utilities > Gender Pay Gap Reporting.

  7. Read the information about GPG when the model is presented.

  8. Click Next.

  9. Choose the report type:

    • Annual Report (based on data from 5th April each year). SelectHR only displays this Annual Report on the dashboard.

    • Snapshot Report (applies a specific date to all pay frequencies).

      • Returns people paid in the relevant earnings period.

      • If 5th April is used, the results match the Annual Report.

  10. If previous data exists for the selected report type and date, it will be deleted and replaced.

  11. (Optional) Use Import employee data to append raw GPG data to the export.

    ๐Ÿ“Œ Note: This cannot be used to overwrite existing data.

  12. Click Next.

  13. If there are errors, a screen will appear showing the problems.

  14. Fix all issues before continuing.

  15. Once no errors are present, a completion screen appears.

  16. Click Report or Finish:

    • If you click Report, choose between Printer, Export, Excel Direct, or Preview.

    • If you select Preview and Print, you will see the full breakdown.

  17. After previewing, close the screen and click Finish.

  18. The report is now ready to be sent to SelectHR.

  19. Wait for the integration Service to poll and make the data visible in SelectHR.


View the Gender Pay Gap Report in SelectHR

  1. Log in to SelectHR with a HR menu set.

  2. Right-click on the dashboard and select Gender Pay Gap Analytics from the context menu.

  3. If you don't see this option:

    • Open the Admin Tool.

    • Click Menus.

    • Double-click the menu set you are using.

    • Unlock the menu set.

    • Expand the Dashboard section.

    • Ensure Gender Pay Gap Analytics is included.

  4. Select Gender Pay Gap Analytics to load the dashboard.

    • Only the latest Annual Report data will display.

View the Gender Pay Gap Crystal Report

  1. Under Employees, click Reports.

  2. Click Employee, then click Gender Pay Gap Report.

  3. Open the report to see the same six charts from the dashboard, in a different format.


Additional Information

  • If you have multiple SelectPay databases reporting to one SelectHR instance, only the latest report from any of them will be shown.

  • For custom reporting, you can extract data from the [SelectHR].[Employee].[Gender Pay Gap] table using Data Export.

  • Snapshot Report data is not shown on the SelectHR front end โ€” it is stored only in the database.

  • If a Snapshot Date is used from outside the current year, SelectHR will pull contract details from EMP_CONTRACT_DETAILS_SNAPSHOT.

  • Total Employees in the report are based on the number of people in the reference period, not the entire database.


Definitions of terms used in the Gender Pay Gap Report

Mean Pay

  • The average hourly rate for each gender.

  • Calculated as the total of all hourly rates per gender divided by the number of employees of that gender.

  • Also shows the percentage difference between male and female mean pay.

Median Pay

  • The middle value of all hourly rates per gender.

  • Useful for understanding typical pay but can vary with sample size.

Quartiles

  • Shows the proportion of each gender within four pay bands (quartiles).

Bonus

  • Covers both Mean and Median bonus comparisons.

  • Only includes bonuses paid during the relevant period.

  • If someone received a bonus earlier in the year but wasnโ€™t paid in the reporting period, they will not appear in the report.
