Reinstate a leaver

Reinstate a leaver as an employee.

There are different steps to follow depending on the situation. Use the appropriate process below based on the scenario.

A leaver has retracted their notice (no SelectPay integration)

  1. Under Employees, click Employees, then click Career History.

  2. Open the relevant employee record.

  3. Click All appointments and open the most recent appointment.

  4. Untick the Leaving? field.

  5. Remove the end date.

  6. Click Save.

  7. Click Pay History.

  8. Open their latest pay history record.

  9. Remove the fixed end date, then click Save.


A leaver has retracted their notice (with SelectPay integration)

  1. Under Employees, click Employees, then click Career History.

  2. Open the relevant employee record.

  3. Click All appointments and open the most recent appointment.

  4. Untick the Leaving? field.

  5. Remove the end date.

  6. Click Save.

  7. Go to Pay History.

  8. Click New Pay History.

  9. Enter the same pay details as before the leave.

  10. Set the effective date to +1 day after the original end date.

  11. Click Save.


A previous employee is rejoining (no SelectPay integration)

  1. Under Employees, click Employees, then click Create Employee.

  2. Enter the first name and surname of the rejoiner.

  3. A list of matching employees will appear — click the play icon beside the rejoiner's record

  4. Complete the rejoin process using the New Employee Wizard.


A previous employee is rejoining (with SelectPay integration)

  1. Under Employees, click Employees, then Create Employee.

  2. Enter the First Name and Surname of the rejoiner.

  3. A list of matching employees will be shown - click the play icon to the left of the rejoiner record.

  4. Using the wizard, enter their rejoiner information.

📌Note: During this process, be sure to assign the employee a new payroll number rather than using their old payroll number to avoid any issues within SelectPay


Additional considerations

Continuous service date

  • Update this according to your internal policies.

  • If the new start date is after the continuous service date, a TUPE date will be submitted to SelectPay.

Effective status

  • If the new appointment is in the future, the status won’t show as current until that date.

  • Remove the effective status filter in listings to view the record beforehand.
