If you experience this issue, it is likely that the absence has already been partially paid up to a specific date in SelectPay.

To change the absence end date, you will need to make this record a fully paid absence by amending the absence end date to the period end date set in SelectPay, then create a new record for any remaining absence after that date.

You can do this by following these steps.

  1. In the Absence zone, click Absence, then Absence History.

  2. Click into the employee's record.

  3. Drill into the details of the open ended absence.

  4. Check to see if there is a Paid Up To date populated.

  5. If a date has been entered, to change the absence end date it will need to be made a fully paid absence by amending the absence end date to X date.

  6. A new record for any remaining absence after that date will then need to be entered.

Open ended sickness for leavers

The system does not let you close an open ended sickness if the employee has left. It will produce an error saying the end date is not a working day.

To close the record, follow these steps.

  1. In the Employees zone, click Employees, then Career History.

  2. Select the employee (you may need to remove the filter to see them).

  3. In their appointment record, remove the Leaving date (Make a note of this) and untick the Leaving box.

  4. Save the record.

  5. You can now add the end date to the open ended absence record.

  6. Next, you will need to go back to the employee's appointment record and re-add the leaving date and re-tick the leaving box.
