Error: JoiningDate: The employee's start date cannot be past their first period of pay

What to do if you see a JoiningDate error in SelectPay after changing an employee's start date.

Written by Harry Ledger

You may see this error in SelectPay when it is integrated with SelectHR. It often happens when an appointment has the Starter checkbox set to true when it should not be, so check this setting on the employee's appointments.

Why the error appears

The error means the employee's start date has changed, and the new date is later than the first pay period they were paid in on that record in SelectPay. This often happens because of incorrect appointment setup, which sends the wrong date to SelectPay.

When to set the Starter checkbox to true

Only set the Starter checkbox to true in these two situations.

  1. The employee is new to your organisation. Set the Starter checkbox to true on their very first appointment only.

  2. The employee is re-joining your organisation after a legitimate break in service. Set the Starter checkbox to true on the new appointment and ensure it is set to false on their previous appointments, if those appointments share the same payroll number.

If the employee has been employed with you continuously, don't set the Starter checkbox to true on the new appointment.

📌 Note: If the employee has two appointments with the same start date, set the Starter checkbox to true only on the appointment you create first.

⚠️ Warning: For each payroll number, only one appointment should have the Starter checkbox set to true at a time. If more than one appointment with the same payroll number has it set to true, set the extra appointments to false until only the correct appointment is set to true.
