Employee effective status is incorrect

Things to check if an employee has the incorrect effective status.

If you see an employee with the incorrect status, for example, you've marked them as a leaver but they still show as current, you need to check the following information.

Check which status they should have

Status

Description

Future

The employee's start date is in the future.

Current

The employee's start date is in the past and has no past leave date.

Leaver

The employee's leave date is in the past.

Non Starter

The employee has the same start and end date, but no leaving date.


Check Snapshot is running

  1. Log in to the Admin Tool then click Batch Jobs.

  2. Click SYSTEM - Update Employee Snapshot.

  3. Click View the log for the selected batch job.

  4. Double-click the record at the top of the list.

If there aren't any results in the list, this indicates that Snapshot isn't running. This can happen if the notification service is disabled. If you're a hosted customer, please raise a new case online.

If you're on-premise, follow the steps below.

  1. On the web/app server, right-click SelectHR Service Administrator.

  2. Select Run as administrator then check the notification service.

If a green light shows, this means it's turned on. If a red light shows, you need to restart the service. To do this, click Start.


Results in the list with errors

If there are results in the list, but there are errors, please search for the exact error message in the Help Centre or the Access Digital Assistant.
