Time Off in Lieu (TOIL) is a type of absence in SelectHR that allows employees to take time off work in exchange for completed overtime.
TOIL process
Overtime Request Submission: The employee submits an overtime request through their self-service menu and sends it to their manager for approval.
Manager Review: The manager can view the request under the Additional menu option in the manager menu, then select Overtime. They may amend, approve, or decline the request.
Overtime Record Creation: Once approved, an overtime record is created in the employee’s profile, detailing the approved overtime hours.
TOIL Absence Request: The employee can request time off using the Time Off in Lieu absence type, which deducts from their overtime record.
Example
Peter submits a 10-hour overtime request to his manager, Jane.
Jane approves the request, and Peter’s profile is updated with a 10-hour TOIL balance.
Peter then submits an absence request, selecting the TOIL absence type and specifying the number of hours he wishes to use.
He submits this request to Jane.
Upon Jane’s approval, Peter’s overtime record updates to reflect the TOIL used. For instance, if Peter uses 5 hours of his 10-hour TOIL balance, his remaining balance will be 5 hours.
🤓 Tip: Overtime records have a default expiry period of three months. If an employee does not use their TOIL within three months of the overtime record’s effective date, the unused TOIL will expire.
