You can review the individual statistics for your employees' holiday entitlement by following the steps below.

  1. Under Absence, click Absence.

  2. Select Holiday History.

  3. Click a relevant employee record.

  4. Click into the holiday history record.

  5. Click Statistics.

Basic entitlement

The holiday rule assigned to the employee determines the holiday statistics values. In the table below, we describe each field πŸ‘‡

Field name

Description

Value impacted by carryover?

Additional details

Year End Entitlement

Sum of basic entitlement and all holiday additions for the holiday year.

No, carryover values do not impact this field.

To see the full value of entitlement including the carryover, you will need to add the Year End Entitlement and Carryover Available fields together manually.

Year End Holiday Remaining

The amount the employee has remaining from their year end entitlement until the end of the holiday year.

Yes - see the additional details column.

While this value does not sum with the carryover entitlement, it is impacted by the carryover statistics.

The statistic in this field will not begin to decrease until all available carryover has been used.

This means that this value will likely match the Year End Entitlement until there is no more carryover entitlement to take.

YTD Holiday Entitlement

The amount the employee has earned for the holiday year as of the current date, including the holiday additions with an effective date on or before the current date.

No, carryover values do not impact this field.

Employees who accrue holidays throughout the year don't see this value match their year end entitlement until all entitlement is accrued.

YTD Holiday Taken

The number of holiday absences used in the current holiday year date range.

  • Must be in the Holiday absence type group.

  • Must have a date in the past.

No, carryover values do not impact this field.

N/A

YTD Holiday Booked

The number of holiday absences booked but not yet taken in the current holiday year date range.

  • Must be in the Holiday absence type group.

  • Must have a date in the future.

No, carryover values do not impact this field.

YTD Holiday Remaining

The amount the employee has left from the year end entitlement as of the current date.

Yes - see the additional details column.

This may be different from year end holiday remaining for people who accrue their holiday or where additions are in the future.

While this value does not sum with the carryover entitlement, it is impacted by the carryover statistics.

The statistic in this field will not begin to decrease until all available carryover has been used.

This means that this value will likely match the Year End Entitlement until there is no more carryover entitlement to take.

Absence

In the table below, we describe each field that shows absence data through the current holiday year πŸ‘‡

Field name

Description

YTD Sickness Absence

The amount of absence records where the employee recorded Sickness Type with dates before the current date.

YTD Other Absence

The amount of absence records where the employee recorded Other Type with dates before the current date.

Carryover

The carryover amount for the current year is pulled from the carryover setup in the previous holiday year, where you can also set an expiration date for carryover.

πŸ“Œ Note: If your employee exceeded their holiday entitlement in the previous year, their current entitlement is deducted until the exceeded carryover is no longer negative. Alternatively, you can adjust their current entitlement in Holiday Additions.

In the table below, we explained the meaning of each field πŸ‘‡

Field name

Description

Carry Over Available

Your employee can use this amount to deduct for their holidays.

Carry Over Used

Here you can see how many days or hours your employee has used.

Carry Over Remaining

The remaining carryover your employee can use until the expiration date.

Carry Over From Year

The holiday year that awarded the carryover in the current year.

Holiday Carry Over Use By

Your employee needs to use the carryover by this date; otherwise, their carryover expires.

This does not apply to negative carryover, which never expires.
