Configure probation periods

Add a probation period for an employee.

This guide provides a step-by-step process to create probation periods for employees in the system.

To create a probation period for an employee, follow these steps.

  1. Click Employees, click Employees, then Career History.

  2. Open the employee record.

  3. Click on the Probation Periods tab.

  4. Click New.

    ๐Ÿค“ Tip: The Probation from and the Probation to dates will be populated based on the notice rule.

  5. Enter the probation period eg, 3 months.

  6. Choose the reviewer and enter any notes, and confirm if mid reviews are required.

  7. The Batch job Probation Reviews Notification (2.3) will trigger, inviting the reviewer to complete the review and record the outcome.

  8. The workflow Employee-Probation Reviews (2.3) will record the outcomes and behave differently for the three outcomes (passed, failed, extended). You will need to explore this workflow to fully understand the various outcomes.


Amend a probation reviewer

To amend a probation reviewer, follow these steps.

  1. Click Employees, click Employees, then click Career History.

  2. Select the employee.

  3. Click Probation Periods tab.

  4. Open the probation record.

  5. Click the ๐Ÿ” next to the selected reviewer.

  6. Choose the new reviewer, then click Save.


Probation review batch jobs

Two batch jobs support the probation review process and ensure that reminders and workflows are triggered at the correct time.

Probation Review Notifications

This batch job sends a reminder to the employeeโ€™s manager and the HR team two weeks before the probation review date.

Probation Reviews Notifications (2.3)

This batch job runs one week before the probation review date. It triggers the associated workflow, which sends tasks to the relevant employees involved in the probation review process.
