Configure absence overbooking prevention in SelectHR Evo

Steps to control whether employees can submit holiday requests that exceed their entitlement, using the Allow Overbooking setting on each Holiday Rule.

You can now control overbooking at the Holiday Rule level, giving you the flexibility to apply different policies across different employee groups. When overbooking is switched off for a rule, employees are blocked from submitting self-service requests that would exceed their entitlement, and managers see a warning before approving or entering absence that would cause an overbooking.

Configure the Allow Overbooking setting

To stop employees from overbooking absences, you need to update the setting on the relevant Holiday Rule.

  1. Click Absence, then click Lookups.

  2. Click Absence, then click Holiday Rules.

  3. Select the Holiday Rule you want to configure.

  4. On the Details tab, locate the Allow Overbooking checkbox.

  5. Untick Allow Overbooking to prevent employees on this rule from submitting requests that exceed their entitlement.

  6. Click Save.

🤓Tip: Repeat this for each Holiday Rule where you want overbooking to be blocked. Rules you leave unchanged will continue to allow overbooking.


What employees and managers will see

Employee self-service requests

When overbooking is switched off, employees cannot submit a self-service holiday request that would exceed their remaining entitlement. If they attempt to do so, they will see a message explaining that the request exceeds their available holiday entitlement and cannot be submitted.

Manager and administrator entry

When a manager or administrator enters a single absence or processes absences in bulk, and the entry would create an overbooking situation, a warning is displayed. They can choose to go back, cancel, or proceed with the entry.

Manager approval

If a manager is approving an absence request that would result in an overbooking, an alert is shown before they confirm the approval, giving them the opportunity to review before proceeding.


Review overbooking instances

A Holiday Overbooking report is available to give HR full visibility of every instance where entitlement has been exceeded.

  1. Click Absence, then click Reports, then click Holiday Overbooking.

  2. Review the report, which lists overbooking instances at Holiday Rule and organisation level.

📌 Note: The Holiday Overbooking report shows all instances where entitlement has been exceeded, including any that occurred before overbooking was switched off on a rule.
