Set up holiday carryover rules

Carryover settings on a holiday rule explained.

There may be times when employees don’t use all their holidays within the holiday year, and, if your company policy allows it, they carry them over into the following year. To allow employees to do this in SelectHR, you need to configure your holiday rules.

⚠️Important: If you apply these changes to a holiday rule that's been used across previous years, the changes apply to past records, which can result in changes to holiday balances. To avoid this, we recommend you create a new holiday rule instead.

Update carryover settings

To update the carryover settings on an existing holiday rule, follow the steps below.

  1. Click Absence, then click Lookups.

  2. Click Absence, then click Holiday Rules.

  3. Open the relevant rule, then click the Carryover tab.

  4. Enter the relevant details:

    • What is the maximum number of days that can be carried over? Enter the maximum number of days an employee can carry over into the next holiday year.

    • What is the maximum number of days that can be paid? Enter the maximum number of unused days that the employee can be paid for instead of carrying them over.

    • Within what time frame should days carried over be used? Enter how long the carried-over days remain valid. To change this value, click Edit Carryover Use-By. For example, if you set this to three months, if the employee doesn't use them within the first three months of the year, then the carried-over days expire.

    • Which amount should take precedence? Select whether the employee needs to use carried-over days or paid days first.

    • How should any remainder be used? Select how to handle leftover days:

      • Holiday: Allow unlimited carryover beyond the set value.

      • No Override: Limit carryover to the specified value only, disregarding any remaining days.


Calculation for hours carryover

If an employee is on an hourly holiday rule, you need to convert carryover days into hours. To calculate this, check their working pattern for:

  • Hours per week.

  • Days per week.

Formula

(Hours per week / Days per week) × Max carryover (in days).

Example

(24.5 / 4.0) × 5 = 30.63 hours carryover.

📌 Note: The calculation is based only on the average hours in the working pattern’s schedules. It ignores FTE figures and doesn't use the working pattern type’s notional hours.
