Family Leave integration requirements

Family leave record not sending to SelectPay.

Minimum requirements

Each relationship type within a family leave record in SelectHR has a set of minimum requirements for the record to send to SelectPay. These requirements are outlined in the table below.

Natural

Pay type:
(SMP)

  • Payroll Type - This field holds the type of pay the employee would be receiving for this Family Leave record. Only relevant pay types will appear in the lookup, the drop down is populated when the relationship and a period of ordinary maternity absence is entered. In the case of Natural/Surrogacy the Pay Type would be SMP.

  • Evidence Seen Date - This is the date the employer receives the formal certificate of confirmation of the family event, i.e. Mat B1, or the adoption equivalent.

  • Expected Date of Birth - This is the date the child is expected to be born and does not need to reflect the actual date of birth.

  • First Day of Leave - This is the date of the first day of maternity absence. This is populated when the Ordinary Maternity Leave is entered.

Natural (Paternity)

Pay type:
(SSP(b))

  • Payroll Type (SSP(b)) - This field holds the type of pay the employee would be receiving for this Family Leave record. Only relevant pay types will appear in the lookup, the drop down is populated when the relationship and a period of ordinary maternity absence are entered. In the case of Natural Paternity, the Pay Type would be SPP(b).

  • Evidence Seen Date - (This date is not sent to SelectPay, a Boolean is sent) This is the date the employer receives the formal certificate of confirmation of the family event, i.e Mat B1, or the adoption equivalent.

  • Expected Date of Birth - This is the date the child is expected to be born.

  • First Day of Leave - This is the date of the first day of leave. (This is populated when the Ordinary Paternity Leave is entered).

  • Actual Date of Birth - This is the child's birth date. This can be seen on the Family Leave details page and is pulled from the dependant's screen.

Adoption

Pay type:
(SAP)

  • Payroll Type - This field holds the type of pay the employee would be receiving for this Family Leave record. Only relevant pay types will appear in the lookup, the drop down is populated when the relationship and a period of ordinary maternity absence are entered. In the case of Adoption the Pay Type would be SAP.

  • Evidence Seen Date (This date is not sent to SelectPay, a Boolean (YES/NO) is sent) - This is the date the employer receives the formal certificate of confirmation of the family event, i.e. Mat B1, or the adoption equivalent.

  • Expected Date of Placement - This is the date the child is expected to be placed with the new family.

  • Expected Date of Matching - This is the date the child is matched to the new family.

  • First Day of Leave - This is the date of the first day of leave. (This is populated when the Ordinary Adoption Leave is entered).

  • Actual Date of Birth - This is the child's birth date. This cannot be seen on the Family Leave details page, but it is required and can be entered from the dependant's screen.

Adoption (Paternity)

Pay type:
(SSP(a))

  • Payroll Type (SSP(a)) - This field holds the type of pay the employee would be receiving for this Family Leave record. Only relevant pay types will appear in the lookup, the drop down is populated when the relationship and a period of ordinary maternity absence are entered. In the case of Natural Paternity, the Pay Type would be SPP(b).

  • Evidence Seen Date - (This date is not sent to SelectPay, a Boolean is sent) This is the date the employer receives the formal certificate of confirmation of the family event, i.e. Mat B1, or the adoption equivalent.

  • Actual Date of Placement - This is the date the child is placed with the family.

  • Actual Date of Birth - This is the child's birth date. This cannot be seen on the Family Leave details page, but it is required and is pulled from the dependant's screen.

Shared parental/adoption leave

Shared parental leave entries do not integrate from SelectHR to SelectPay. Exceptions are listed in full below.

  • Natural (SMP)

  • Adoption (SAP)

  • Curtailment Date - Date used to indicate when a mother gives notice that she would like to end her maternity leave and begin using Shared Parental Leave.

  • Revocation Date - Date that the mother revokes their curtailment of adoption/maternity leave.

  • Evidence Received for SPL - Boolean (YES/NO) to indicate if evidence for SPL has been given for the other parent.

  • Other Parent Details - Other parent’s basic details that have been entered.

  • Natural (Paternity)

    (SSP(b))

  • Adoption (Paternity)

    (SSP(a))

These record combinations are limited by legislative requirements and are not supported for shared parental leave integration to SelectPay.

We recommend to create the family leave record manually in SelectPay in these instances.

You may wish to manually create a parental leave absence record if the employee on these pay types are taking shared parental leave with their partner.
