Request an absence

Steps on how a self service user can request an absence.

The most common way to request an absence is by following the first set of steps below. This applies to employees with a fixed working pattern.

For variable hours workers, or those on a mix of part-time and variable hours, refer to the relevant sections further down.

Request an absence

  1. Log in to SelectHR.

  2. Under Absence, click Request Absence.

  3. Select the type of absence you are requesting (e.g. Holiday, Unpaid).

  4. Click Continue.

  5. Enter the Start Date and End Date of the Absence you are requesting.

  6. Enter whether you want to book off Full or Part Days.

  7. Enter any notes you wish for your absence approver to see.

  8. Click Save & Continue.

    • If you selected Full Days, your request will now be submitted to the absence approver to accept or decline.

  9. If you selected Part Days, you will need to enter the Start Period (which part of the day you wish the absence to begin) and the End Period (which part of the day you wish the absence to end on).

  10. Click Save & Continue.

Your request will now be sent to your absence approver to accept or decline.


Request an absence (variable hours worker)

For variable workers, the steps are mostly the same, except you will need to manually enter the number of hours you are taking off against each working day within the date range being requested.

  1. Log in to SelectHR.

  2. Under Absence, click Request Absence.

  3. Select the type of absence you are requesting (e.g. Holiday, Unpaid).

  4. Click Continue.

  5. Enter the Start Date and End Date of the Absence you are requesting.

  6. Enter any notes you wish for your absence approver to see.

  7. Click Save & Continue.

  8. You will now need to enter the number of hours you are taking off for each day within the Start and End Date range input on the previous part of the request.

    • Note: All fields must be filled - any days where you do not need to request time off should be entered as 0 hours.

  9. Click Save & Continue.

Your request will now be sent to your absence approver to accept or decline.


Requesting an absence (part time & variable hours mix)

  1. Log in to SelectHR.

  2. Under Absence, click Request Absence.

  3. Select the type of absence you are requesting (e.g. Holiday, Unpaid).

  4. Click Continue.

  5. Enter the Start Date and End Date of the Absence you are requesting.

  6. Enter any notes you wish for your absence approver to see.

  7. Click Save & Continue.

The system will automatically determine how many hours you will be taking off for each holiday day between the Start & End Date entered previously for your part time role.

However, you will still be asked to enter the hours against each day for your variable working pattern.

It is important that you only enter values for the variable work days where you would normally be required to work - if the shift does not need to be booked off as a holiday, then enter 0 into the hours on that day.

Once you click Save & Continue, your request will now be sent to your absence approver to accept or decline.
