πŸ“Œ Note: The following article only applies to version 4.0 and SelectHR Evo.

With the new legislation, employees are entitled to up to two weeks of bereavement leave, which may be taken in one or two-week chunks. There are restrictions detailed by the government which have been put in place and noted below, but if you would like to view the official response, please see https://www.gov.uk/government/consultations/parental-bereavement-leave-and-pay

Overview

The new bereavement leave functionality is broken down into two parts:

  1. The bereavement details.

  2. The bereavement leave.

In order to enter the bereavement details i.e. Evidence Seen Date, Reason For Death, Date of Death, and (if applicable) the Dependant, you will need to select the Enter Bereavement Details button at the top of the family leave details form.

Once you have selected Enter Bereavement Details you should receive a form allowing you to enter the Evidence Seen Date, Reason For Death, Date of Death, and (if applicable) the Dependant.

You can either click Complete to enter a single bereavement or press Save & Create Another to enter a second bereavement, in the event that a second death has occurred e.g. twins are stillborn or miscarried.

Now that a bereavement has been entered you should see an additional tab appear on your family leave details process called 'Bereavement Leave'. This list will display all of the bereavement records that have been created, and allow you to Edit or Delete any existing records.

Enter Bereavement Leave

Once an employee has decided when they would like to take their bereavement leave you can click Enter Bereavement Leave on the Family Leave Details form which will start the Absence - Enter Bereavement Leave workflow.

The workflow will ask you to select a bereavement to enter the bereavement leave against, and provide an opportunity to enter either one entry of absence up to 2 weeks long, or two separate entries of up to 1 week. e.g. 01/04/2020 - 14/04/2020, or alternatively 01/04/2020 - 07/04/2020 AND 08/06/2020 - 14/06/2020.

πŸ“Œ Note: If the bereavement details have not already been entered, then you will be asked to enter the bereavement details first, and then offered an opportunity to enter the leave afterwards.

  1. Select a bereavement record and click Enter Bereavement Leave.

  2. Enter the start and end date of the employee's first bereavement leave (This can be up to 2 weeks long)

  3. (Optional) Enter a second week of bereavement leave, if this is known at this point

You can now view the bereavement leave under the employee's absence history.

Limitations

In order to follow government legislation and enforce logical data entry, the following restrictions have been put in place.

  • You cannot have more than one bereavement per dependent.

  • The evidence seen date for a bereavement cannot be before the date of death.

  • You cannot enter leave if the date of the dependent is before the 6th April 2020.

  • The length of service must be at least 26 weeks on the Saturday before the date of death to qualify for bereavement leave.

  • The date of death must be 24 weeks or more from pregnancy (calculated as expected date of birth minus 16 weeks).

  • The bereavement leave must start within 55 weeks of the date of death.

  • The absence end date cannot be before the absence start date.

  • One period of absence cannot exceed 2 weeks.

  • If there are two periods of absence taken, each one cannot exceed 1 week.

  • The two periods of absence cannot overlap.
